How to store images properly in ClubRunner Nova

In ClubRunner Nova, images can be stored in two places: My Images and the Admin Image Library. Knowing when to use each helps keep your club organised, avoids broken links, and supports smooth leadership transition.

Simple rule of thumb

If the image will be reused or represents the club brand → use Admin Image Library.
If it’s temporary or for a one-off item → use My Images.

My Images

Your personal image storage. These images are linked to your login and are typically used when you upload images while creating content.

Best for

  • Temporary / one-off images

  • Draft content and testing layouts

  • Single-use event images

Limitations

  • Not centrally organised for the whole club

  • Other admins may not easily find or reuse the image

  • Not ideal for logos or images used across multiple pages

Admin Image Library

The club’s shared image storage managed by authorised officers/admins. Images here are easier to reuse and remain available across leadership changes.

Best for

  • Club logos, banners and brand graphics

  • Images reused across pages/events/news

  • Annual event assets and promotional tiles

Why it matters

  • Prevents duplicates and broken links

  • Supports consistent branding

  • Creates continuity across committees/boards

How to use both effectively

  • Create folders in the Admin Image Library (e.g. Logos, Banners, Events 2026, News, People).

  • Name images clearly (avoid “image1.jpg”): e.g. MovieNight_2026_Banner.jpg.

  • Resize before upload (faster loading pages and cleaner display).

  • Avoid duplicates: check the library before uploading again.

  • When in doubt: put reusable/official images in the Admin Image Library.
